FAQs for All

Why don’t I see 512 10th Street in the Space Calendar? We are deliberately keeping 512 off the space calendar until we get closer to opening the building. If this becomes problematic, just reach out and we can revisit.

Can I look back at data from past years? Yes! Propared has no limit on how far back you may go to look at historical data.

I prefer Month view, but the calendar always opens in Week view. Change to Week view then bookmark that URL instead. You can do this for any of your preferred views.

How can I access a Propared calendar quickly from my phone? You can add the calendar as an icon on your Home Screen. Click here for instructions for iPhone.

FAQs for Project Managers

Do events [such as deadlines] that do not have a physical location need to be listed as TBD? We actually prefer that this type of events have nothing listed in the location field so they do not appear on and clutter the Space Calendar.

Do I need to include a category when creating events? The only category that is currently in use is the Company Calendar category. Any events tagged with this Category will appear in the Company Calendar production book.

How do I book a space in the understudy room or the Back L/Dressing Rooms? The understudy room is listed as Understudy Room/Room 300.

If you are booking any locations in the Back L/Dressing Rooms, please book it to Back L/Dressing Rooms and enter the specific room in the Details field. Be sure to get permission from Production before booking these spaces.

How to enter cross-departmental events.

Please see workflow below for how to create an event like a photo shoot that is cross departmental without having to create duplicate entries. 

Example: Photo shoot for History on Foot that takes place in the Alley.

  1. Carolina creates the photo call event in the "Graphics Projects" project.

  2. She then tags the appropriate departments. In this scenario it would be Actors, Production, Stagehands, and Wardrobe.

Setup has been done to the corresponding production books to display events from the Graphics Projects project that are tagged with their department. As such, the photo call event will appear in the following production books:

    • Costumes - Miscellaneous

    • Graphics - Production

    • History on Foot

    • Stagehand Schedule

    • Technical Production Calendar

The event will also appear in the Space Calendar as long as a location has been assigned. 

What if my event is canceled?

We prefer that canceled events not be deleted so we have them for the historical record. If your event is canceled, simply type CANCELED before the event name in all caps. For instance - “CANCELED Our American Cousin.”
